Filling Machine RFQ Checklist

A practical checklist for buyers preparing quotation requests for liquid, oil, powder, cosmetic, paint or drum filling equipment.

Short Answer

A good filling machine RFQ should describe the product, container, fill volume or weight, output target, automation level, line modules, destination country and any safety or documentation needs. Photos or drawings reduce guessing and usually make the first quotation more useful.

Product details come first

The same container can need different equipment when the product changes. Product name, viscosity, foam, temperature, particles, flammability and cleaning needs should be described before machine configuration is discussed.

Container details prevent layout errors

Container photos or drawings help the supplier review filling height, neck size, lid type, conveyor guides, weighing platform, capping tools and labeling position.

Output target should be practical

State the target in bottles, pails, drums, bags or containers per hour. If you only know daily production, share the working hours and shift plan so the supplier can estimate the required speed range.

Define the supply boundary

A filling machine quotation may include only filling, or a full line with capping, labeling, coding, packing, conveyors, spare parts, documentation and commissioning support. Ask the supplier to show the supply boundary clearly.

Selection Points

Send product samples or viscosity data when available; otherwise send product name and photos of current production.
Send container photos even when drawings are not ready.
Separate must-have modules from future upgrade modules.
State safety, food-contact, explosion-proof or documentation needs early.

RFQ Checklist

1Product name, viscosity, foam, temperature, particles and cleaning requirement.
2Container type, volume, material, neck or opening, cap or closure and photos.
3Target output per hour, daily production goal and shift plan.
4Automation level: manual support, semi-automatic, automatic or complete line.
5Destination country, power standard, installation condition and required documents.
6Current pain point: slow filling, dripping, accuracy loss, labor cost or unstable capping.

Common Buyer Questions

Can I request a quotation without final drawings?

Yes. A first review can start from product name, container photos, fill target and output. Drawings improve accuracy and should be added when available.

Should I ask for filling only or a complete line?

Ask for the scope that matches your production goal. If capping, labeling, coding or packing will be needed soon, include them in the RFQ so the layout can be planned correctly.

Why do suppliers ask for destination country?

Destination country affects power standard, documentation, shipping planning, language support and sometimes safety or compliance requirements.
